There are two options for companies that want to retain e-mails for auditing or compliance needs. With Microsoft Exchange Server, we can copy every incoming, outgoing, and internal e-mail that goes through the system.
With Journaling, that copy of every e-mail is sent to a spare mailbox that retains all of these e-mails until deleted. This feature is often used for auditing purposes. However, these e-mails can be easily altered and destroyed - therefore, this repository typically cannot be used for legal matters. Companies typically also export this mailbox to a .pst file on a monthly basis and burn onto a DVD for historical archival purposes.
For companies that must meet certain regulatory requirements (such as the NASD 3010, SEC 17a-4, and Sarbanes-Oxley regulations), Regulatory Compliant Archiving is necessary.
